Tammy's Proven 13-Step Process

A practical step-by-step process to help parents organize what their child needs, explore possible funding sources, prepare stronger requests, follow up, and keep moving forward.

Identify the Products and/or Services You Need

Begin with the specific need and explain what difference it could make in your child's daily life, safety, participation, communication, mobility, learning, or independence.

Get a Cost Estimate for the Product or Service You Need

Ask the provider or vendor for a written price quote and be prepared to explain how the cost was determined.

Take a Picture of Your Child With the Item You Are Requesting Funding For, When Appropriate

Use a respectful, appropriate photo when it helps a funder understand the child and the need. Do not delay an application if the exact photo is not possible.

Get a Letter of Medical Necessity When It Is Appropriate or Required

Ask the appropriate treating or qualified professional to explain the specific need and why the requested product or service is medically necessary or clinically appropriate.

Gather Important Documents for Your Applications

Keep required records together so you are not rebuilding the same application packet every time.

Determine What Insurance Will Cover and Obtain a Written Decision When Needed

First determine whether coverage may be available. If a funder requires proof that insurance will not cover the need, keep the written decision.

Write a High-Quality Ask Letter

Tell your child's story honestly and concisely, explain the specific need and cost, and show what the requested assistance would make possible.

Research Funding Sources to Find the Best Match for Your Child

Start with geography, then compare eligibility, age, diagnosis when relevant, type of need, financial requirements, referral rules, and current application status.

Contact Selected Funding Sources When Appropriate

Use the contact method the organization prefers and ask concise eligibility questions when the program welcomes them.

Complete the Application Exactly as Requested

Follow directions, answer every required question, and submit the documents the funder requests.

Follow Up Appropriately

Use the funder's stated timeline and follow up politely when enough time has passed or more information is needed.

Say Thank You

When support is provided, send a sincere thank-you and, when appropriate, share what the support made possible.

If the Answer Is No, Keep Going

Learn from the response, reapply when allowed, or move to another source that may be a better fit. One no should not automatically end the search.
